ConvoNote Privacy Policy

ConvoNote ("the App," "we," "us," "our") is operated by SMS Idea. This policy explains what information ConvoNote collects, how it is used, how long it is kept, and the choices you have.

1. What ConvoNote does
ConvoNote records conversations and meetings you choose to record, converts the audio to text using speech-to-text technology, and produces a written summary (including key points, decisions, and action items) using AI language-model technology. Recordings, transcripts, and summaries are stored so you can review them later.
2. Information we collect
Account information
- Email address, and a password if you create an account with one, or
- Basic profile information (name, email address) if you sign in with Google Sign-In.
Audio and recording data
- Audio you record within the App.
- The transcript generated from that audio.
- The AI-generated summary, key points, decisions, and action items generated from the transcript.
Usage and billing data
- Recording duration and processing metadata, used to calculate usage against your account's balance (ConvoNote provides a free weekly usage allowance).
Technical information
- Standard technical data such as IP address and request logs, collected automatically by our server infrastructure for security, rate-limiting, and abuse prevention.
Permissions the App requests
- Microphone — required to record audio. Recording only happens when you actively start a recording in the App.
- Notifications — used to show recording/processing status.
- Biometric authentication — if you enable an app-lock feature, your device's built-in biometric unlock (fingerprint/face) is used entirely on your device. ConvoNote does not receive or store your biometric data; this is handled by your device's operating system.
3. How your audio is processed
- When you finish a recording, the audio is uploaded to ConvoNote's servers for processing.
- Our servers send the audio to a third-party AI provider (OpenAI) to generate a speech-to-text transcript, and send the resulting transcript to OpenAI's language-model service to generate a summary. Processing always happens through ConvoNote's servers, never directly from your device to OpenAI.
- OpenAI processes this data under its own terms and privacy practices as our data processor for this purpose. We do not sell your audio, transcripts, or summaries to any third party, and we do not use them to train our own models.
4. How long we keep your data
- Audio recordings: our system automatically deletes your raw audio from our servers once a meeting finishes processing successfully. We do not intentionally retain audio after that point, and do not use it for any purpose after processing. (If processing fails and is retried, audio is retained only until processing completes or is abandoned.)
- Transcripts and summaries are retained in your account until you delete the meeting or delete your account.
- Account data is retained until you delete your account.
- Server logs and technical records are retained for a limited period (currently up to 45 days) for security and operational purposes, then automatically removed.
5. Your choices and rights
- Delete a meeting: you can delete an individual meeting (transcript, summary, and any remaining data) at any time from within the App.
- Delete your account: you can request full account deletion from within the App or by contacting support@smsidea.co.in. Deleting your account permanently removes your recordings, transcripts, summaries, and account information from our systems.
- Access or export your data: contact support@smsidea.co.in to request a copy of the data associated with your account.
6. Third-party services
ConvoNote uses the following third-party services to operate:

Each provider processes data under its own privacy policy and terms.
7. Data security
We use encryption for data at rest and in transit. Access to your account requires authentication.
8. Children's privacy
ConvoNote is not directed at children, and we do not knowingly collect information from children under the age of 13 (or the minimum age required by your local law).
9. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the App after a change constitutes acceptance of the updated policy.
